MINDFULLY

Mindfully Sorted Counseling Platform: Boosting Patient Bookings and Therapist Engagement by 45% for Seamless Counseling Sessions

Crafting an intuitive user experience that enables patients to effortlessly book therapists while ensuring therapists manage sessions with ease, fostering a seamless and personalized counseling journey for both users and professionals.

My Role

As the UX and UI designer for Mindfully, I was responsible for revamping the user experience of the platform end-to-end for both key user groups: therapists and patients. The goal was to enhance engagement and streamline interactions across the platform. Collaborating closely with my project manager and developer, we identified critical pain points in the user journey through comprehensive research and feedback from stakeholders.

I conceptualized and designed responsive, intuitive user flows and prototypes, creating a cohesive visual experience that prioritizes seamless functionality. By focusing on improving therapist session management and simplifying patient booking processes, I ensured the platform delivers a user-centric experience. The result was a reimagined product that effectively supports patients in booking therapists and therapists in conducting counseling sessions, leading to increased engagement and satisfaction.

Onboarding Screens with questions for the users

(A sneak - peek of my thinking and design process)

Through mood boards, iterative wireframing (V1, V2, VE versions), user flows, and a cohesive design system with a defined color palette and typography (Rubik), we crafted a user experiences that resonated with business professionals and elevated the platform's usability and visual appeal. We kept on iterating flows until and unless we found which flow was seamless and had a wonderful experience to reach the goal

Screens & Flows

Dashboard Screens - First Time Users

Personalized User Flow

Dynamic Onboarding Questions: In the second question, "What do you want to sort today?", users select an emotion or concern (e.g., anxiety, grief, depression). Based on their selection, the subsequent onboarding questions are tailored to their specific emotional needs. This personalized flow leverages contextual design, making the experience more relevant and empathetic. By addressing their concerns directly, the onboarding process establishes a deeper connection with the user

Progressive Disclosure: The step-by-step question format prevents overwhelming the user, maintaining focus on one input at a time. This aligns with cognitive load theory, simplifying decision-making.

Clear and Consistent Interaction Design

Uniform Button Placement: The "Proceed to Booking" button remains consistently positioned, reducing cognitive effort and encouraging intuitive navigation (following Fitts's Law).

Accessible Input Design: Large, tappable areas for options ensure usability across devices, particularly for users with motor impairments, adhering to WCAG guidelines.

Emotional Connection and Trust Building

Welcoming tone: The conversational language ("Good Morning, Ahona") establishes a sense of familiarity and comfort, enhancing emotional design.

Therapist Availability Indicators: Displaying the number of therapists available based on selected time slots reinforces transparency and builds trust in the platform.

Session Scheduling Options (5th and 6th Screens)

Flexible Timing Preferences: Asking users when they prefer their therapy sessions (e.g., immediate, weekdays, weekends) and their preferred time of day (morning, afternoon, evening) demonstrates a thoughtful and user-centric approach. This flexibility empowers users, aligning with self-determination theory, which emphasizes autonomy in decision-making.

Direct Communication with Therapists: Once users select their preferred slots, the information is automatically sent to the therapist via WhatsApp. Therapists can either accept the suggested slots or propose a reschedule based on their availability. Users are notified of any updates through WhatsApp notifications and the dashboard notification system. This two-way flexibility ensures both users and therapists have control over the scheduling process, fostering a balanced and adaptable interaction.

Real-Time Feedback: Showing therapist availability in real-time (e.g., "23 therapists available") reassures users that their preferred time slot is feasible, reducing anxiety and building confidence in the platform.

Seamless Updates: The integration of real-time communication channels ensures that users remain informed, and any changes are quickly conveyed, enhancing the overall user experience.

Transparency and Trust-Building

The transparent scheduling system not only gives users autonomy but also provides therapists with the flexibility to manage their schedules effectively. This mutual flexibility strengthens the user-therapist relationship and enhances trust in the platform.

Simplified Signup and Login Process

Google Integration: Offering Google signup minimizes user effort, leveraging recognition over recall to prefill information and streamline the experience.

Verification Code Flow: A secure yet straightforward code-based verification ensures data security while being easy to complete, reducing friction in the user journey.

Research

To address the challenges of enhancing user engagement and creating seamless experiences for both patients and therapists, extensive research was conducted to better understand user needs and streamline the design process. This research included competitor analysis, user journey mapping, wireframing, and mockup development, ensuring that the platform's features aligned with user expectations.

01

Competitor Analysis: Conducted a detailed analysis of mental health and therapy platforms, evaluating their user experience, interface design, and workflows. This process involved exploring platforms like Amaha and Talkspace to identify gaps in their UX flows and opportunities for improvement in Mindfully, particularly in onboarding, appointment scheduling, and communication features.

02

User & Therapist Journey Mapping: Wireframed detailed user flows for both patients and therapists, focusing on creating an intuitive experience. This included mapping out pain points like scheduling conflicts, ease of session booking, and session reminders, ensuring that each touchpoint in the journey was streamlined and accessible.

03

Iterative Design Variations: Designed low-fidelity wireframes to validate the overall structure and navigation flows, followed by high-fidelity mockups to define the visual and functional aspects of the platform. This iterative process allowed the team to incorporate user feedback and fine-tune the designs for maximum usability and engagement.

Understanding User-Centered Design Beyond Interface

Learning : Designing for mental health professionals taught me the importance of creating solutions that prioritize functionality and empathy. Beyond aesthetics, understanding the unique workflows and challenges therapists face—such as managing appointments and maintaining flexibility—was key to designing effective solutions.

Feedback Received: Therapists appreciated the intuitive flow that reduced scheduling stress and allowed for quick task management, leading to more efficient session handling.

Iterative Refinements Through Real-Time Feedback

Learning : Regularly incorporating user feedback highlighted the need for iterative changes, especially regarding session rescheduling and follow-up management. This iterative process ensured that the design adapted seamlessly to user needs and business goals.

Feedback Received: Stakeholders and users acknowledged that the iterative design process helped refine workflows, enhancing both usability and satisfaction with the dashboard.

Importance of Contextual Onboarding

Learning : Designing onboarding for first-time users, such as helping therapists align their availability with client preferences, emphasized the importance of contextual and guided onboarding flows.

Feedback Received: First-time users reported feeling more confident navigating the platform and appreciated the clarity in setting up availability and managing session preferences.

Streamlined Communication Enhances Team Collaboration

Learning : Close collaboration with developers and stakeholders reinforced the importance of clear documentation and continuous communication to align design goals with technical feasibility.

Feedback Received: The proactive communication process reduced misunderstandings and facilitated smoother handoffs, ensuring that the final product met the intended user experience standards.

The Challenge

Designing Mindfully came with a set of unique challenges, primarily centered around ensuring the platform effectively communicated its features and value proposition to both patients and therapists. These challenges included:

01

Limited Awareness of Flexibility Features: Many users initially struggled to understand the platform’s unique scheduling options, such as immediate session booking and personalized availability. This lack of awareness impacted early adoption rates.

02

Complex Onboarding for Therapists: While the platform aimed to simplify appointment management, therapists reported difficulties in navigating the onboarding process, which led to slower initial adoption.

03

Balancing User Simplicity with Feature Depth: Patients needed a simple interface, while therapists required robust tools for managing schedules. Striking a balance between simplicity for patients and functionality for therapists proved challenging.
